We are on the lookout for an experienced Site Coordinator to manage administrative tasks and handle daily duties for our bursting office site. We are interested in professionals who are efficient and comfortable with organizing and coordinating administration duties and office procedures. Your role is to create and maintain a pleasant office environment, ensuring high levels of organizational effectiveness, communication, and safety. The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position. You will work closely with colleagues on the HR and Finance team to ensure smooth and effective workflow processes, task delegation, and ongoing achievement of identified tasks. Interested?

Oversee the organization and management of Wroclaw’s office:

·      Manage incoming inquiries, posts, emails, and requests for information relating to Wroclaw’s office

·      Coordinate the signature and exchange of office documents e.g. manage contract and price negotiations with office vendors, service providers, etc.

·      Liaise with and build effective working relationships and provide high-level customer service with staff and external clients

·      Assist with liaising with the companies’ IT support desk for new and laptop set up, etc.

·      Assist colleagues with office equipment needs

·      Liaise with the property management for matters regarding the tenancy

·      Organize the office layout, track and maintain the process of access to the office, usage of supplies, parking spaces, etc.

·      Assist with travel arrangements, financial payments supporting Finance team, procurement budget monitoring

·      Partner with the HR team to update and maintain office policies when necessary

·      Assist HR team with a team culture – i.e. by organizing monthly burger fiestas and weekly breakfast

·      Ad hoc request for the team and wider business

You

Have strong experience as an Office Coordinator/Administrator focused on getting things done in a timely manner. The ideal candidate for this job is a resourceful team player, a good problem solver with an eye for detail. You will have an upbeat personality and positive approach, fitting nicely into a dynamic operations team. 

Must have skills

·      At least 3 years of proven experience in a similar position

·      Solid experience with Microsoft Office package

·      Must have a very good grasp of the Polish and English language both verbal and written

·      Ability to work on problems independently and to contribute effectively as a member of a team 

·      Experience working in a global environment with remote resources 

·      Excellent communication and multitasking skills with the ability to prioritize tasks

·      Procurement experience
